The EHR Switch: Is a New System the Answer, or a Distraction?

Deciding to switch your Electronic Health Record (EHR) system is often born out of a moment of deep frustration. Maybe it’s a glitchy interface that adds twenty minutes to your day, or perhaps it’s a reporting feature that leaves you guessing about your practice’s actual health.
In the billing world, we often see providers treat an EHR switch like a "fresh start." But if you aren’t careful, that fresh start can quickly turn into a "perfect storm" for your revenue cycle.
In a recent episode of The Claim Game, we sat down with Meg Wright of Maitri Holistic Therapy and Wellness. Meg shared a sobering story about a practice transition where the data didn’t quite make the trip. Important client payment information and historical billing records were left behind, leading to a massive spike in aging Accounts Receivable (AR).
Before you take the plunge into a new platform, let’s take a look under the hood together to see if a switch is truly what your practice needs.
Why Do You Want to Switch Your EHR?
The first step in a successful transition is identifying the "Why." We’ve found that many providers look for new software when what they actually need is a new process.
Are you switching because:
The software is fundamentally broken? (e.g., constant downtime, poor security, or lack of essential clinical features).
The billing data is a mess? (e.g., your aging report is growing, and you can’t see why).
The workflow is cumbersome? (e.g., your admin team is spending hours on tasks that should be automated).
If your primary pain point is financial—like high denial rates or uncollected balances—a new EHR might simply give you a brand-new screen to look at the same old problems.
The Hidden Costs of Transition
Moving data from one system to another is rarely "seamless." Think of it like moving houses; even with the best movers, things can get lost or broken. When Meg transitioned her practice, the "Data Gap" became a significant hurdle.
Most EHR migrations do not automatically transfer "credit card tokens" (the saved payment info) or the intricate history of a client’s balance. This means your team has to manually re-collect information from every single patient. If you aren't prepared for that administrative heavy lifting, your cash flow will feel the impact immediately.
Validating the Need with a Practice Health Check
At Practice Solutions, our mission is to create and communicate clarity in a confusing industry. Before you commit to a new monthly subscription and a months-long data migration, we recommend a Practice Health Check (PHC).
A PHC is like taking your practice’s vitals. We evaluate your current systems and workflows to see where the "clogged arteries" are. Often, we find that a practice doesn't need to endure the headache of a software switch. Instead, they need better Revenue Cycle Management (RCM) processes—like cleaner intake forms, more consistent eligibility checks, or a professional billing team to work those denials.
If the PHC validates that your current software is indeed the bottleneck, you can move forward with the confidence that a switch is the right strategic move, not just a reactive one.
How to Evaluate a New System
If you’ve decided to move forward, don’t just fall for a flashy sales demo. You need to see how the software performs in the trenches.
The Admin Demo: Have your office manager or biller navigate the system. Can they find the aging report in three clicks or less?
The Payer Integration: How does the system handle ERA (Electronic Remittance Advice) posting? Does it play nice with the insurance companies you bill most often?
The Data Export: Ask exactly what data you will own and how it can be exported if you ever decide to leave.
Follow-Up Actions to Take:
[ ] Audit your "Why": Write down the top three frustrations with your current setup. Are they software issues or process issues?
[ ] Review your AR: Look at your aging report. Is the bottleneck caused by the software, or by a lack of follow-up on claims?
[ ] Schedule a Practice Health Check: Before signing a new contract, reach out to our team to see if your current system can be optimized first.
We want to empower you to focus on patient care by removing the burden of billing. Whether you stay with your current EHR or move to a new one, we’re here to make sure your revenue cycle stays healthy and your practice stays thriving.
